When you create an account and complete an application, we collect: your name, contact details (email, phone), and account password (stored as a one-way cryptographic hash — we never store or have access to your actual password); personal details (date of birth, nationality, place of birth, marital status, religion, occupation); passport and national ID information; education and work history; family, financial guarantor, and emergency contact details; and the documents you upload (photo, passport scan, birth certificate, academic certificates and transcripts, medical check-up results, criminal record certificate, sponsorship letter, bank statements, and similar). We also record your handwritten signature, captured as an image.
Structured application data is stored in a private Google Sheets database, accessible only via a secured service account. Uploaded documents are stored in a private Google Drive folder, never made publicly accessible — documents can only be viewed by AfriLink staff through a controlled, authenticated process built into the Portal.
We use your information to review and process your study-abroad application, communicate with you about your application status (by email and, where configured, WhatsApp), match you with suitable university programs, and maintain records of your application history.
Your application data is visible to AfriLink admin staff and, if you were referred by or are working with an agent, to that agent (for applications they submit or that reference their agent code). As part of processing your study-abroad application, we also share relevant application materials and documents with the partner universities you apply to, and, where necessary for visa or admission purposes, with the relevant embassies, consulates, and other institutions involved in that process. We do not sell your personal information to third parties.
The Portal relies on a small number of third-party services to function: Google (Sheets and Drive, for data and document storage; and optionally, Google Sign-In for logging in), Twilio (for WhatsApp notifications, where configured), Gmail (for sending email notifications), and Google reCAPTCHA (to help prevent automated abuse of the registration and login forms). Each of these providers processes data according to their own privacy policies.
The Portal uses a small number of secure, HTTP-only session cookies solely to keep you logged in. We do not use advertising or tracking cookies.
We retain application data for as long as necessary to support your application and, where relevant, ongoing communication with partner universities.
